Send the information you have

Start with the space type, location, approximate area and rough budget. Tell us when the work must be ready and whether that date is fixed or flexible. A lease milestone, relocation or opening date helps explain the constraint. The project brief asks for these details in short steps and gives you a chance to review everything before sending.

Plans and photos help us understand the current condition. You can upload a floor plan or image with the brief, but having no drawings does not prevent you from submitting. Explain any gaps and we will ask for the information needed. Avoid sending personal or confidential material unrelated to the project.

We qualify the scope and ask what is missing

We reply within one working day. We check whether the brief explains the work, budget basis and timing clearly enough to identify suitable contractors. If something important is missing, we ask by email or WhatsApp using the contact details you provide. This is a qualification process, not a design appointment or a consultation call.

A contractor needs to survey the actual site before giving a project-specific technical assessment and quote. We do not create construction drawings, price a final tender or promise an approval outcome. Our role is to make the initial comparison useful and to organise introductions that you choose.

We check the contractor evidence

Our public 12-point checklist covers Commercial Registration, trade licence, insurance, relevant approval experience and references. It also covers completed work, proposed project teams, specifications, payment terms, programme and handover. We check fit against the type of work and confirm availability for the brief.

A document check is not a guarantee of future performance. The comparison should make the evidence and any questions visible. You still need to review the final scope and construction contract before appointing anyone. Ask the contractor to explain how their proposed team and specialist subcontractors will deliver your specific work.

Read your one-page shortlist

The shortlist brings up to three options into the same format. It explains relevant experience, scope fit, indicative costs where supported and availability. It highlights questions worth resolving in the quote. You can share that document with your manager or purchasing team to decide who should visit.

The one-pager is not a set of formal quotes. If your purchasing policy requires three tenders, tell us so we can check availability. We do not fill empty slots with unsuitable firms just to reach a number. A contractor quote follows the site survey and review of the agreed scope.

Approve the contractors you want to meet

Your contact details go only to the up to three contractors you explicitly approve. Receiving a shortlist does not automatically authorise introductions to every option. You can choose fewer, ask a question first or decline them all. If none fits, explain what is missing and we review your brief again at no cost.

The selected contractors arrange free site surveys and prepare their offers. Compare inclusions, exclusions, materials, payment milestones and the programme on the same basis. Keep a written record of clarifications so your final decision is based on the work each contractor has actually agreed to deliver.

Understand who pays and who builds

Contractors pay Qatar Fit Out for qualified introductions. We explain that relationship openly because it is why you do not pay us for qualification and matching. The construction price is agreed separately between you and your chosen contractor. We do not sell materials or carry out building work.

Your construction contract is directly with the contractor. Their responsibilities for quality, safety, approvals, warranty and delivery should be written into that agreement. Our matching service does not replace your appointed designer, project manager or legal adviser. You remain free to choose whether to meet or appoint anyone.
